I seen it was brought up about the vote for the new coin that the vote was open for only a week and that not all member visit the site on a regular basis.

When it come to issues like voting that the WHOLE WGA has a voice, should there be some kind of mass e-mail to notify all members, weather it be board elections,or coins or events or whatever?

If this already takes place, please disregard this post, as I do not remember getting such an email.

I think this would get more people involved in the WGA. I know a many cachers in this area that that no nothing about the WGA.

Just my 2 cents here. I am not trying to stir thing up about the coin vote or anything like that.

I just wanted to toss out some of the current ideas on keeping the members informed via email... if you have opinions or comments on these ideas or alternatives to these proposals, please post them.

1. One thing being discussed is a WGA email newsletter. This would be a periodic thing, kind of like the weekly geocaching.com email update but much less frequently (quarterly, bi-monthly?). It would collect up information from and report on multiple WGA "happenings" in a single email. It may even be semi-fancy with a HTML format and longer, more informative articles.

2. Another option is an email notification feature for important news articles posted on the WGA home page. As soon as the article was posted, folks would get an email with a short summary of the article and a link to the full text online. An obvious benefit to this approach over the newsletter is that you'd get instant notification... but you'd get more total email messages (could get annoying for some folks), and they'd be more basic (i.e. not as polished or contain as much information).

Not sure if #1 or #2 or both would be the best way to go when it comes to getting the word out via email. Personally, I would be in favor of sending the periodic newsletter to all members and friends by default (opt-out) and doing the news article notification feature but only send notifications to people that specifically request them (opt-in).

With all email notifications, we also have to worry about messages from the WGA server getting lost in people's spam filters. This is already happening to some of the forum notifications (where you watch a topic), and the more email we send and the more people we send it to, the more likely that the stuff we send will get flagged as spam.

I think your general set up for option 1 & 2 seems reasonable. The only thing I would point out is I see what is suggested for #2 option being what #1 would more than likely be populated with. This would create for those who opt-in a quarterly email that is nothing more than a summery of past emails. So in short, I would say #1 and #2 are the same thing.

What #2 in my view should be is an Opt-in for short notice events, WGA request, votes/input from members that are short time frame. Examples of each below..

Short notice event – WGA indorsed or other WGA member held event which the WGA believes is good PR for the organization and geocaching. Such event could be that the DNR office in a county ask that the WGA hold a training event. This would be something that might have short enough time frame that it would not be in a quarterly news letter but the WGA needs to get volunteers to help make the event happen.

WGA request – While this can include the above it also can be just like the announcements made that the DNR is looking for photos, or a news crew in Milwaukee is looking for a cacher(s) to interview, or a Boy/Girl Scout group needs help.

Votes/input – Some items the committees or board don’t have 3-4 months to work on but would like to get the opinions of the WGA members. These usually show up on the fours but all might not have the chance to see these types of postings.

I think the idea of emailing notifications or a regular newsletter is great! Especially the newsletter idea. While spam filters can and are an issue, I don't think that would be a reason to not send emails, it's up to each user to teach their filter to let the emails through ... at the very least, the WGA can say they have a notification / newsletter in place, beyond that each user needs to address limitations on their end of things.
