On September 26, 2015 while attending the WGA Fall Picnic at Patterson Falls or on the way home I lost the money pouch, the money from the days sales, and the PayPal credit card swiper. After an extensive search of my home, car, garage, bags I had with me, etc I was unable to locate it. I failed to notify my fellow board members immediately, hoping that I would be able to find it, this was wrong of me. I further compounded my poor judgment by not dealing with this in a timely manner once the board was notified in November of the missing funds and WGA property.
Going forward I will be repaying the money that was lost, I have already replaced the PayPal swiper. Words cannot express how deeply sorry I am for this happening. I have failed the members of the WGA, the WGA Board of Directors, and myself by not dealing with this in a timely manner. I take full responsibility for this occurring, I should have been more careful with WGA property, I should have came forward as soon as I realized that the money pouch was missing.
Everyone that is a member of the WGA deserves better from me as a board member, and I have personally failed to live up to that trust.

01/26/2016 at 1:45 pm #2046510I am truly sorry to hear that happened to you, Rob. I remember seeing you at the picnic…you looked dog-tired from putting in a long, long day for the WGA. Your dedication can’t be overlooked and it’s great that you’re willing to replace all that was lost. I can commiserate with you…don’t know how many times I’ve misplaced one thing or another and drove myself crazy looking for it. Eventually it would turn up, sometimes in the most unexpected ways and places…and I hope this might the case for you too.

01/26/2016 at 4:26 pm #2046520After the loss, we the WGA BOD wished to be proactive with the handling of WGA monies and worked together to create this policy which will be followed from this time forward.
WGA Cash Handling Policy
Adhere to the following procedures when more than $100 is expected to be on hand during geocaching and fundraising events. The $100 limit will help exclude individual unsanctioned WGA events where sales are made by board members to attendees. If items are sold during individual events the Treasure should be contacted to receive funds via Paypal invoice or some determined way at that time.
The following policy ensures that at least two designated members are in charge of the cash box from the beginning to the end of an event. At the end of the event, both designated members need to observe where the cash box is placed enroute to be deposited.
If money is lost, immediate action must be taken to retrieve or locate missing funds as described below.
- A locked cash box will be used to store cash and checks and will be locked at all times when not in use.
- Two designated members will take charge of and be responsible for the cash box and keys throughout the event.
- If one of the designated members cannot maintain charge of the cash box for an extended period of time, then a board member must be notified of the situation to reassign designation to themselves or another member.
- The cash box will be in sight of a designated member at all times during the event.
- Responsibility for the money will lie with the two designated members in charge of the cash box until the end of the event.
- At the Event end, the two designated members will relinquish control of the cash box to the WGA Treasurer or designated courier. Designated members responsibility ends and sole responsibility transfers to the Treasurer or designated courier.
- Cash will be counted by two WGA members after events and totals accounted for in electronic form (Private WGA Board Forum, Facebook Messenger Board Group, etc ).
- Cash will be taken to the bank and deposited within 2 business days after an event’s conclusion otherwise the Board should be notified through the Treasures Forum when the Deposit will happen at a later date. Whenever possible, two WGA members should be with the cash box until it is deposited.
- If at anytime the cash box goes missing, board members at the event will be notified. Immediately after all actions to find the cash box have been taken place, a police report will be filed.

01/27/2016 at 12:20 pm #2046545Thanks to everyone for taking measures to assist in this issue. Unfortunately loss of things like this do happen and following this policy will be good for everyone when handling money.
