    We noticed this on the all All-A-Glow cache page:
    “Due to seating limitations, our event capacity for the Potluck/night geocaching/Campfire portion of this event is 60.”
    I can understand the seating limitations for the dinner, but does this have to exclude the night caching as well?
    There is a chance we might not be able to come, therefore we are reluctant to sign up and take up space from someone else who could make it.
    This is the first time I’ve seen a limitation on an event, and I’m hoping it’s not a sign of things to come.

    The WGA is certainly growing. Hosting an event seems like it would be a lot of work. Limiting the number of cachers may be necessary. There are only “X” number of caches released for an event. You don’t want people standing in line at a cache to log (or stamp) it. There usually is some type of flyer or map too. Running off copies, dealing with crowd control, etc… It can be difficult.

    This one sounds like a lot of fun but we will not be able to make it.

    Having talked to whitnallgps the other day about the event, I believe it is for the dinner and maybe the bowling. I think night caching is unlilmited. May want to send him an e-mail.

    I’d rather see people standing in line, than being excluded from attending an event and missing out on the fun and festivities.

      There are several reasons why we had to limit the capacity for our event ..

      Our first issue is seating capacity for the potluck. The facility we have only has enough room for 60 people seated. However, we have been looking at moving it to a larger room but then that also creates the second issue that ..

      There are only 2 of us (WhitnallGPS and myself) hosting this event that involves 3 venues.

      For example, as one of us sets up the night caches and campfire, the other will be hosting the pot luck. As the night caching begins one of us will have to supervise the campfire until it is put out (Fire Dept restriction) while the other goes to the bowling alley.

      We would gladly accept help behind the scenes so we could look at opening the event up to more people if we can get the larger facility or perhaps offer a staggered start to the night caching.

      I hope we don’t question whether the WGA is too large simply because two members who plan their own event have to limit how many can attend. These are of course two separate issues: a) size of the WGA and b) the number of people that can be accomodated at a specific event organized by local geocachers.

      I think it’s great that so many members are planning and hosting their own event caches. If they have to limit how many can attend to ensure that everyone who does so has a good time, more power to them, as long as the limiting is done in a fair way, such as the first 60 persons to sign up in advance.

      They already did host an event…. It was a great one!

      I like the idea of small group events. It allows one to spend more time getting to know a few people without feeling like they are missing talking to “so & so” or what may be going on in the “other side of the park”. This is the reason I am looking forward to some “special interest” group events in the future.

      We can speak from experience both from hosting events and attending many events.
      I only brought this subject up because this is the first time I’ve seen a limit on attendance.
      I believe the WGA picnic this year had a record turnout with significantly less temporary hides than last year. Yes, there were times that multiple teams converged on hides, sometimes even finding teams with the cache still in hand. But this is all part of the fun. I’d hate to hear of cachers who would of liked to attend one of our events, but couldn’t due to space limitations.

        With the appropriate approvals in place, and several volunteers who have offered their help if we need it, updates have been made to the “All A Glow” event!
