The city asked you if you would host an event. I think that it would not be a bad idea to ask the city what they expect from you. If they can give you a shelter that might be the biggest expense. A few volunteers to help field question and maybe take some muggles out on a find or two would be really great PR. But like I said talk to the city first.
The only freedom we have is decideing what we do with the time we have.08/10/2005 at 9:04 pm #1759381Just to clarify … the city is not running the geo-event, I am … a co-worker’s wife is running the festival (more of a farmer’s / craft market with other stuff) and asked me if I’d be interested in joining in the fun, I think she’s with the Chamber of Commerce. Maybe I should not have used the term “the City”. However, I am working on getting as much donated as possible … I just emailed someone about the shelter 10 minutes ago to see if we qualify as “Non-Profit Group” for free rental … I think we should, but that would be the Park-Rec Dept.’s call, which has nothing to do with the festival.

08/11/2005 at 3:13 am #1759382If you have expenses to cover me would say put out a donation box with a small sign. I would be against requiring a fee when you are trying to introduce the sport.
While $2-$3 is not much, if people see a fee, MOST will just simply dismiss. Why would I pay you money to tell me something about something I have no clue about?
Hopefully you will not have to invest too much in the first place.

08/11/2005 at 3:23 am #1759383I have no problem paying a fee for anything I really want to do. But I do expect my expenditures to be met with a quality product. My expectations are far lower for a $2 fee, as compared to a $10 dollar fee.

1) paying a $2 – $5 fee for my wife & I to attend is no big deal. You could put out a donations bucket with a sign saying something to the effect of “Each team is expected to donate $x for enjoying today’s activities”. Put the bucket in a prominant place and announce it often.
2) Perhaps you could have some T-shirts done up. Mark them up by $7 – $10 each and use that profit. Take pre-orders and payment by Paypal so buyers can pick them up at the event. Have a few extras at the event for those that didn’t pre-order.
3) Make some pre-made micro-caches and sell them. A film canister with camo tape, a very small note sheet, and cut off golf-type pencil would cost next-to-nothing to prepare but might be sold for a couple bucks each.
4) Get a few nice things to raffle off: Wisonsin State Park stickers, ammo cans, AA batteries, etc. Charge $1 a ticket.
08/11/2005 at 2:32 pm #1759385Update … the organizer of the event indicates this an email this morning “we do have a budget where the things you spoke of could come out of as far as expenses” plus she’s going to try and get the shelter for free.
So, unless problems arise, this is a non-issue … if I do end up having expenses, I will take the suggestions thus far and place a donation basket, because I like the point about not scaring off new people. Thanks for your feedback.

If you still wanted to do a little fund-raising, I’ll bet the Parks Dept. would happily accept! Think of the goodwill produced in that!
WI-Geocaching might accept a free-will offering as well. I don’t know.

Just a side note … Yes WGA is a logical destination for an extra funds. Typically you would not raise funds for non-geo purposes, as that would not likely meet GC’s requirments for listing the event page.
